These terms of service ("Terms") are an agreement between you and Oppian Systems Ltd, a company registered in England and Wales under number 06782942 ("we", "us", "our"). They govern your use of VoxTabula ("the Service"), available at voxtabula.com. By using the Service you agree to these Terms. If you do not agree, please do not use it.
1. What VoxTabula is
VoxTabula is a voice journal. It helps you capture memories, notes and feelings by speaking. With it you can:
- Record voice notes with your device's microphone
- Get a written transcription of each recording
- Receive AI-written titles, summaries and gentle organisation of your notes
- Search your notes and return to them over time
- Reach your notes from any device you sign in on
Transcription and summaries are made by third-party AI services. They can contain mistakes, so please do not rely on them as the only record of anything important.
2. Not therapy or crisis care
VoxTabula supports reflection, including between therapy sessions. It is not therapy, medical advice, diagnosis or treatment, and it is not a crisis service. Nobody at VoxTabula reads your notes to check on you. If you are in danger or thinking of harming yourself, call 112 in the EU or 999 in the UK, or contact a local crisis line.
3. Who can use VoxTabula
By using the Service you confirm that:
- You are at least 16 years old
- You can enter into a binding agreement
- You will use the Service in line with these Terms and the law
4. Your account
You sign in with Google or with a link sent to your email. A shared demo account lets you look around; everyone using the demo can see what is recorded there, and it is wiped every night, so please keep personal notes out of it. You agree to keep access to your account secure, to tell us at support@voxtabula.com if someone else gets into it, and you are responsible for what happens under your account.
5. Acceptable use
You agree to use the Service lawfully. You must not:
- Record other people without their consent where the law requires it
- Record or upload content that is unlawful, threatening, abusive or defamatory
- Infringe anyone else's intellectual property
- Try to get into other people's accounts or into our systems
- Spread malware or other harmful software
- Reverse-engineer the Service, or use bots or scrapers on it without our written consent
- Use the Service in a way that disrupts or overloads it
We may suspend or close an account if we reasonably believe it breaks these rules.
6. Your content
6.1 You own it
Everything you record or write in VoxTabula, and its transcriptions and summaries ("your content"), belongs to you. We claim no ownership of it.
6.2 What you let us do with it
You give us a limited, non-exclusive, royalty-free licence to store, process and transmit your content only so that we can provide the Service to you. The licence ends when you delete the content or your account.
6.3 AI processing
Your content is processed by third-party services that we use to provide the Service: AI models for transcription, summaries and organisation, and a memory service that indexes your notes so you can search them and find related ones. Our privacy policy names them and explains what each keeps and for how long.
6.4 Our property
The Service itself, its design, software and the VoxTabula name, is the property of Oppian Systems Ltd. These Terms give you no right to use our name or branding.
7. Plans and payment
7.1 The plans
VoxTabula has a free Basic plan and three paid monthly plans: Light, Plus and Professional. The app shows what each includes and what it costs before you choose one. Prices are in euros and include VAT; if you pay from outside the euro area, the checkout may show you a converted amount in your own currency.
7.2 Payment
Payments are handled by Stripe. Oppian Systems Ltd is the seller and accounts for the VAT. When you subscribe, you authorise us, through Stripe, to charge your payment method each month.
7.3 Renewal
Your plan renews every month until you cancel. If we change a price, we will tell you before it applies to your next renewal, and you can cancel before then.
7.4 A failed payment
If a renewal payment fails, you keep your plan while Stripe tries your card again. If the payment still cannot be taken, your plan ends and your account moves to Basic. Your notes stay.
7.5 Changing plan
Moving to a dearer plan starts it straight away, and the unused days of your old plan are credited towards future payments. To move to a cheaper plan, cancel your current one and choose the new plan when it ends.
7.6 Fair use on Professional
Professional includes unlimited recording for normal personal and professional use. If you record more than 100 hours in one calendar month, we may pause new recordings until the next month begins. We will tell you before we do. Your existing notes are not affected.
8. The free Basic plan
Basic gives you a limited amount of recording time, shown in the app. It stays free for as long as you use it and needs no payment method. We may change what Basic includes, and we will give reasonable notice of any important change.
9. Cancelling
You can cancel at any time from your profile, under Manage subscription. Your plan then runs to the end of the month you have paid for, and your account moves to Basic. We do not refund the unused part of a month, except as set out in section 10.
10. Refunds
10.1 30-day money-back guarantee
If you are not happy with your first paid plan, ask for a full refund within 30 days of buying it by writing to support@voxtabula.com. This guarantee applies once per customer. We refund to the original payment method within 14 days of your request.
10.2 Your 14-day right to withdraw
If you are a consumer in the European Union or the United Kingdom, you may withdraw from any paid plan within 14 days of buying it, without giving a reason. Write to support@voxtabula.com and we refund the full amount, with no charge for the days you used, within 14 days.
10.3 What a refund does
A full refund ends that paid plan at once, and your account moves to Basic. Your notes stay.
10.4 A payment for a plan you never received
If a payment completes after you have closed your account, the plan is never started and we refund that payment in full, automatically.
10.5 Other refunds
Outside the cases above, refunds are at our discretion. You are welcome to ask at support@voxtabula.com.
11. Availability
We work to keep VoxTabula available, but we cannot promise it will always be uninterrupted or free of errors. It may be unavailable during maintenance, updates, or because of events outside our control, such as an outage at a provider we rely on. We do not offer a service level agreement.
12. Liability
12.1 General limitation
As far as the law allows, we are not liable for indirect or consequential loss, including loss of profit, data or goodwill, arising from your use of the Service.
12.2 Maximum liability
Our total liability to you for any claim about these Terms or the Service is limited to the greater of what you paid us in the 12 months before the claim, or 100 euros.
12.3 What we never exclude
Nothing in these Terms limits our liability for:
- Death or personal injury caused by our negligence
- Fraud or fraudulent misrepresentation
- Anything else the law does not allow us to limit
12.4 AI-written content
Transcriptions, summaries and other AI-written content may be inaccurate or incomplete. We make no promise about their accuracy, and they are no substitute for professional advice.
13. Closing your account
13.1 Closing it yourself
You can close your account at any time from your profile. Closing it ends any paid plan at once. The unused part of the month is not refunded, but the guarantee in section 10.1 and the right in section 10.2 still apply if you are within their time limits: write to support@voxtabula.com. For 30 days after closing you can sign in and restore your account; restoring it does not restore a paid plan. After that your data is erased as our privacy policy describes.
13.2 Closing by us
We may suspend or close your account if we reasonably believe that you have broken these Terms, that your use puts the Service, its users or anyone else at risk, or that the law requires us to. If we close a paid account for any other reason, we refund the unused part of the month.
14. Changes to these Terms
We may change these Terms. If a change matters, we will update the date at the top of this page and email you at the address on your account; we may also show a notice in the app. Important changes take effect at least 30 days after we tell you. If you do not agree to them, you can cancel and close your account before then.
15. Law and disputes
15.1 Talk to us first
If something goes wrong, please write to support@voxtabula.com first. We aim to settle any complaint within 30 days.
15.2 Governing law
These Terms are governed by the law of England and Wales, and its courts have jurisdiction.
15.3 Your rights as a consumer
If you are a consumer, nothing in these Terms takes away the rights the law of the country where you live gives you, and you may bring a claim in the courts of that country.
16. General
These Terms and our privacy policy are the whole agreement between you and us about the Service. If a court finds part of them invalid, the rest still applies. If we do not enforce a term straight away, we have not given it up. You may not transfer your rights under these Terms without our written consent; we may transfer ours.
